What Is an Electronic BOM? Bill of Materials Guide for PCB Assembly

A practical guide to electronic BOM structure for PCB assembly and component sourcing, including MPNs, quantities, packages, approved alternatives and revision control.

An electronic BOM (Bill of Materials) is the structured list of components required to build an electronic product or PCB assembly. It may look like a spreadsheet, but in practice it is one of the main documents connecting engineering, purchasing, component sourcing and manufacturing.

A clear BOM helps everyone work from the same technical definition. Instead of asking which “10 kΩ resistor” or which “controller IC” is intended, the BOM can identify the exact manufacturer part number, package, quantity, approved alternatives and assembly status. That reduces ambiguity before quotation and helps prevent avoidable sourcing or production delays.

What is an electronic BOM?

In electronics, a Bill of Materials normally lists every component that should be fitted to a board: resistors, capacitors, integrated circuits, semiconductors, connectors, relays, sensors and other parts. Depending on the project, it may also identify parts that must not be fitted, parts supplied by the customer and components that can be replaced with an approved equivalent.

The BOM is different from Gerber and Pick & Place data. Gerber files describe the PCB manufacturing layers, while Pick & Place data describes component positions. The BOM answers a different question: which exact parts are required, and in what quantity?

Which columns should an electronics BOM contain?

Reference designator

References such as R1, R2, C5, U3 and J1 link a BOM line to positions on the PCB. When one part is used in several positions, the designators can be grouped on a single line.

Manufacturer Part Number (MPN)

The MPN is one of the most useful fields for accurate electronic component sourcing. It identifies the exact component specified by the manufacturer. For ICs, MOSFETs, connectors, relays, sensors and many specialised parts, sourcing without a reliable MPN can introduce unnecessary uncertainty.

Manufacturer, value and description

A readable description provides an additional validation layer. For example, “100 nF, 50 V, X7R, 0603 MLCC” communicates far more than “100 nF capacitor”. Manufacturer information is particularly useful when the design requires a specific brand or qualified source.

Package or footprint

Package information such as 0603, 0805, SOIC-8, QFN-32 or SOT-23 should agree with the PCB footprint. A technically similar component in the wrong mechanical package may not be usable on the existing board.

Quantity

It is useful to separate quantity per board from total project quantity. This makes it easier to calculate requirements for prototypes, pilot batches or series production and to evaluate pack sizes, minimum order quantities and reasonable manufacturing allowance.

Approved alternatives

If alternatives are permitted, the BOM should state how they are controlled. “Equivalent allowed” is not a complete engineering rule. A proposed alternative may still require checks for pinout, package, voltage, current, temperature range, lifecycle and other application-specific characteristics.

How does a BOM support PCB assembly?

For PCB assembly, the BOM helps connect material preparation with the board revision. The BOM, Gerber data, Pick & Place file and assembly notes should all belong to the same controlled release. If the PCB is Rev. B but the BOM belongs to Rev. A, even a correctly sourced component list can lead to problems.

Marking DNP/DNI positions clearly is also important. A component may exist in the PCB design but intentionally remain unpopulated for a particular product variant. That status should not depend on an informal note buried in an email.

How should customer-supplied parts be shown?

Some projects include consigned components supplied by the customer, while the remaining material is sourced by the assembly or supply partner. A dedicated “Customer Supplied” or “Consigned” field can make this distinction clear and helps track whether the required quantity has actually arrived.

How should BOM revisions be controlled?

File names such as “bom_final_final2.xlsx” are difficult to manage. A better approach is to use a project identifier, revision code and date, and to document what changed between revisions. Keeping BOM revision and PCB revision aligned is especially important when a component value, package or designator changes.

How to prepare a BOM for component sourcing

For quotation, XLSX or CSV formats are convenient because each line can be reviewed individually. A PDF can also be useful as a controlled reference, but a structured spreadsheet generally makes part-number and quantity analysis faster.

If your BOM contains obsolete, long-lead-time or unavailable parts, the sourcing process may include an alternative-component review. In that case, keep the original MPN in the BOM and record the proposed replacement separately rather than silently replacing the original specification.

Common electronic BOM mistakes

  • Missing or incomplete manufacturer part numbers
  • No package or footprint information
  • Mixing different PCB and BOM revisions
  • Failing to identify DNP/DNI positions
  • Unclear quantity-per-board versus total quantity
  • Allowing alternatives without defined approval rules
  • Using descriptions that are too generic to identify a component safely

From electronic BOM to quotation

A well-prepared BOM makes both component sourcing and PCB assembly evaluation more efficient. You can also review SEMKO’s electronic component product groups to understand the main component categories covered by project-based sourcing.

If you have an electronic BOM ready, submit your BOM and project information to SEMKO. Availability, alternatives, technical scope and delivery conditions are confirmed during quotation based on the actual part numbers and project requirements.

FAQ

Frequently Asked Questions

What does BOM mean?+

BOM stands for Bill of Materials, the list of materials required to build a product.

Should an electronics BOM contain MPNs?+

Whenever possible. Manufacturer part numbers make accurate component matching easier, especially for critical parts.

What does DNP mean?+

DNP means Do Not Populate and identifies a component position that should not be assembled for a specific product variant.

Does a BOM have to be an Excel file?+

No. XLSX, CSV or PDF may be used, although structured spreadsheet formats can simplify sourcing evaluation.

What is an electronic BOM?+

An electronic BOM is the Bill of Materials listing the components required to build an electronic PCB assembly, typically including MPN, quantity, package and reference designators.

Is a BOM enough for PCB assembly?+

A BOM is essential, but PCB assembly commonly also requires Gerber, Pick & Place data, board quantity and any special assembly notes.
